Limiting mailbox sizes and establishing an e-mail policy are both preventative measures that can reduce the transfer of large files to other recipients within an organization. With Exchange 2000, you can create a Mailbox Store Policy that can make life a lot easier when you try to establish mailbox size limits for more than one mailbox store spread across several Exchange servers. To accomplish this, first you need to create a System Policy Container, and then a Mailbox Store Policy.
Create a System Policy Container
In Exchange System Manager expand the administrative groups. If this group is not visible, right-click on your organization's name then choose properties. Select Display administrative groups. Return to the Exchange System Manager.
Expand the Administrative group then right click this group and select New
-> System Policy Container.
Mailbox Store Policy
Right-click on system policies then select New -> Mailbox Store Policy.
Select the limits check box.
Click on the general tab to give the policy a name for example "15 MB mailbox store policy".
Click on the Limits tab and enter your limits for example issue warning at 15000 KB.
Click OK to return to the Exchange System Manger.
(Before you apply this policy to a Mailbox Store you can create another policy that can apply to another Mailbox Store. For example, you might want to set up a mailbox policy limiting all users mailboxes to 8MB.)
In Exchange System Manager, right click on a policy you want to apply to a Mailbox Store, and then select Add Mailbox Store.
Select the Mailbox Store you want to use.
Click OK.
