Through a distribution list e-mail can easily be sent to a group of users at one time. Since exchange administrators are already familiar with the process of creating distribution lists, this tip will look at managing a distribution list from within the Outlook client.

You create distribution lists with the Exchange Administrator program, not with the Outlook client. But you can manage a list with Outlook once it's created. As you create the distribution list, make your mailbox the owner of the list. Or, in the case of large enterprises where you're trying to delegate some administrative functions, you can delegate the ownership of the list to, say, a power user, or a department head, who now can manage the list.

Here's how you manage the newly created Distribution List from Outlook:

  • Click on new message

  • Then click on the To button

  • Browse for the DL that you created

  • Select Properties

  • Then Click on the Modify Members button to add or remove members.

The only down side to managing a Distribution List from Outlook is that you will not be able to add SMTP addresses to the List.
