NEW Chapter 2 2009 UPDATE: Defining an email-archiving policy

As more organizations adopt email archiving, it is increasingly important that existing policies dealing with records management and user activities are incorporated into email-archive content management. Creating and implementing an effective email-archiving policy is one of the most important policy concerns for companies.

In this chapter, discover how to implement a comprehensive email-archiving policy that will enforce how users manage and retain their electronic messages. Specifically, you'll learn about:

  • The purpose of an email-archiving policy
  • What qualifies as acceptable use
  • Email management and retention options
  • Staff roles and responsibilities in policy compliance

NEW Chapter 3 2009 UPDATE: Choosing email-archiving product features for compliance and risk reduction

It's critical to identify the key features when selecting an email-archiving system for risk reduction. The most important part of the process is defining the company's email-retention goals and policies, preferably at the user-group level.

This chapter begins with an overview of two basic email-archiving system architectures on the market: hosted and in-house solutions. It then explains the architectural requirements -- OS, number of mailboxes, mail server type -- to consider when evaluating an email-archiving product for your organization.

Learn more about the following product features and find out why you need to consider them before purchasing an email-archiving solution:

  • Regulatory compliance features
  • Litigation riks-reduction features
  • Spam filtering capabilities
  • Unified messaging and voicemail integration
  • Security and encryption features
