QUESTION POSED ON: 24 June 2008
We are having issues when email is sent to our new Motorola personal digital assistants (PDAs). We are running Exchange Server 2003 and using Outlook Web Access (OWA). Our service provider, Telus, set up the PDAs for us.

The problem is that incoming email goes directly to the PDAs without leaving a copy on the users' desktops. Telus has now set up their own Web access account so our users can retrieve email from their Web mail in lieu of using OWA. Telus is now advising us that our Exchange server is the cause of this problem and they will no longer provide support to us. What would you suggest we do to fix this problem?

Based on the description, it sounds like the PDAs are downloading email messages using POP3. If that is the case, check the POP3 settings on the handheld devices to see if there is a setting that will leave a copy of the message on the Exchange server.

It's also possible that your Active Directory (AD) user accounts are configured to forward a copy of all email messages to the PDA. If that is the case, then check the respective AD accounts; there is a checkbox under Exchange General -> Delivery Options that lets you keep a copy of all messages in the Exchange Server mailbox.
