One of our employees used her Microsoft Outlook calendar as the division calendar instead of making a public folder calendar. How do I export the information from her Microsoft Outlook calendar to the newly created public folder calendar?

Here are some steps for you to follow:

  1. Log onto the end user's account via Outlook.
  2. Navigate to the Outlook folder where the user has saved all the division appointments.
  3. Now you will want to define a new view. Call it whatever you want (i.e., "everything").
  4. In the new view dialog, select the "table" type and make sure all defaults are accepted (i.e., don't select a filter).
  5. Click apply.
  6. You will now see a list of all appointments in this Calendar.
  7. From here on in things get simple. Just select Edit -> Select All (or simply click CTRL-A) and then copy all items to the newly created public folder calendar.

That's all you need to do. You should now have all the appointments in the shared public folder for all to see.

To create a new view in Microsoft Outlook 2007 (in order to export all calendar items to .PST) follow these steps:

  1. Click on your calendar.
  2. Click View -> Current View -> Define Views.
  3. Click New.
  4. Name the view something like "Prepare Calendar to Export All Items to PST" and then accept defaults. Then click OK.
  5. Click OK to exit, but make sure you select "Apply View." You should now see your calendar as a list of all items in the calendar.
  6. Assuming you have the target .PST ready, use CTRL-A to select all items in your calendar, then use Edit -> Copy to copy all items from the calendar folder into your .PST's calendar.
